What Is OrderWorkflow?

Enobis OrderWorkflow adds an approval step to the Magento checkout. When an order meets the rules you define, it is not processed right away. It goes to a supervisor, who approves or declines it, and the customer is informed about the result.

It is made for shops where not everyone may simply buy: company purchasing portals, shops for employees or branches, budget-controlled ordering and every case where a manager has to say "yes" first.

Simple workflow – the supervisor is a registered customer and releases orders in "My Releaseable Orders", with "My Requested Orders" for the buyer.
Email workflow – the customer enters the email address of a supervisor, even someone without a shop account. Allowed address endings (e.g. your company domain) keep it safe.
Direct release link – supervisors approve straight from the email, without login, within a validity period you set.
Backend approval – staff can approve or decline in the order view of the admin.

1. Overview

OrderWorkflow adds an approval step to checkout. If the configured rules match, the order is placed but not processed until a supervisor approves it. The supervisor can approve or decline with a comment; the customer is informed by email and by order status.

setup:upgrade creates the customer and product attributes (section 7) and the three order statuses (section 12).

4. Concepts

Workflow mode (Workflow Mode):

Simple Workflow	The supervisor is a registered customer. The order goes to the supervisor, who releases it in the storefront ("My Releaseable Orders"), the admin, or via the direct release link in the email.
Email Workflow	The customer enters the email address of a supervisor at checkout. The supervisor needs no account and decides via the link in the email.

A "Two Step Workflow" exists in the code but is disabled in the dropdown.

Workflow trigger (general_enabled_by, multiselect): Payment Method, Customer Group, Product Trigger. If several are selected, all conditions must match.

Supervisor: the customer who has to release an order (see section 6).

Additional default: allow_order_comment = 1 (customers may enter an order comment; no field in the admin).

5.3 Workflow Status Configuration (`orderworkflow/one_step_workflow`)

The last three fields are stored under orderworkflow/general/ (status_after_order, status_filter_customer, status).

5.5 Email Workflow (`orderworkflow/guest_workflow`)

The email workflow starts when the customer enters the email address of a supervisor at checkout.

Reminders are sent manually from the order view, see sections 9 and 10. The module contains no cron job.

5.7 Defaults without admin field

config.xml also contains defaults for canceled_email (disabled, template "Order Canceled Supervisor Information"), release_product* (disabled) and two_step_workflow statuses. They have no fields in the admin.

5.8 Account Relation Switcher filters

If Enobis_AccountRelationSwitcher is installed, section enobisAccountRelationSwitcher > Filter additional information > Order Workflow offers: Filter Order Requested, Show more information in Order Requested, Filter Order Release, Show more information in Order Release.

6. Supervisor determination

The customer attribute "Supervisor" (enobis_supervisor) holds a customer or the value "use default" (-1). With "use default", Supervisor Determination Priority decides:

The role based options only appear when the related modules are installed. With website scope sharing, role-based supervisors are limited to the customer's website. A customer is never his own supervisor candidate.

7. Customer and product data

Customer attributes: enobis_supervisor (Supervisor (OrderWorkflow)), enobis_supervisor2 (second supervisor, receives a copy of the standard Magento order confirmation email of the customer), orderworkflow_release_limit. When a release limit is set, the workflow only applies if the quote total (base grand total) is greater than the limit.

Product attribute: eow_trigger (workflow trigger for the Product Trigger option; copied to quote items). A product supervisor attribute enobis_product_supervisor is removed by a data upgrade.

Extension attributes (API): customer (enobis_supervisor, enobis_supervisor2, orderworkflow_release_limit), quote (enobis_supervisor, enobis_order_comment, enobis_quote_status), quote item, order (enobis_supervisor, enobis_supervisor_comment, enobis_supervisor_email, enobis_supervisor_email_key, enobis_supervisor_email_key_created_at, enobis_order_comment, is_workflow) and payment (enobis_order_comment, supervisor_email).

8. Order flow in detail

The customer places an order. The module checks the enabled state, the workflow mode, the trigger conditions and the customer's release limit.
If the workflow applies, the order gets the supervisor, the "Status after Order" is set (default: Requested At Supervisor) and the supervisor info email is sent (if notification emails are enabled).
The supervisor approves or declines with a comment:
- in the storefront (Simple Workflow),
- via the direct release link (if enabled, valid for the configured days),
- via the email workflow link (external supervisor),
- in the admin order view.
The order status changes, the customer receives the customer release email.
If an order is canceled, the supervisor can be informed with the Order Canceled email. Its defaults in config.xml are disabled and there is no admin field to enable it (section 5.7).

9. Storefront pages

The checkout shows the comment field and a notice for workflow orders.

10. Admin features

Order view: buttons to approve/decline and to send a reminder (backend reminder must be enabled).
ACL: Enobis_OrderWorkflow::sales_order_action_approve, Enobis_OrderWorkflow::sales_order_action_decline (under Sales > Operations > Orders > Actions), Enobis_OrderWorkflow::config_orderworkflow for the configuration.
Customer form and grid: supervisor attribute fields.
Mass action: assign a supervisor to selected customers (list, set, post, cancel).
Supervisor protection: before a customer is deleted, the module checks whether the customer is used as a supervisor (in the configuration, e.g. as Default Supervisor, or assigned to other customers). If so, deletion is refused with an error message.

Order items are rendered with {{layout handle="sales_email_order_items" order_id=$order_id area="frontend"}}. With enobis/module-booking, bookable items show their booking options. {{var booking_checkout|raw}} renders booking delivery data with enobis/module-booking-checkout and stays empty otherwise.

13. Extension points

Routes: orderworkflow (frontend and admin); the admin router also extends the customer route before Magento_Customer (mass assignment controllers).
Events observed: sales_model_service_quote_submit_before, sales_model_service_quote_submit_success, sales_order_place_after, checkout_submit_all_after, sales_order_payment_cancel, customer_delete_before, and (frontend) checkout_cart_save_before.
Events dispatched: the four template-variable events in section 11.
Translations: en_US, en_IE, de_DE, es_ES, fr_FR, it_IT, pl_PL, ru_RU.

14. Troubleshooting and known issues

Observations from the source (to be confirmed by the developer):

The constant Config::CUST_ATTR_ORDER_WORKFLOW_RELEASE_LIMIT is orderworkflow_limit_limit, while the installed attribute is orderworkflow_release_limit. The limit check itself reads the installed attribute; the constant is unused.
The Impersonation setting field id is impersonation_supervisor_order_workflow_enabled, while config.xml has impersonation_supervisor_workflow_enabled, so the default does not apply.
The Two Step Workflow is commented out in the mode dropdown.
